Unit Clerk (Operating Room)

JOB SUMMARY

 

The Unit Clerk is a non-exempt member of the Copper Ridge Surgery Center (CRSC) team participating in its mission and values. This position is a cross-functioning role, providing support to the clinical areas through secretarial, scheduling and administrative assistance. This role will provide accurate, timely and responsive information to all the areas necessary to ensure a smooth workflow for the physicians and clinical areas.

ESSENTIAL FUNCTIONS

  • Coordinates daily completion of the procedure schedule
  • Monitors the daily procedure schedule and coordinates with Team Leaders, pharmacy, and charge nurses
  • Monitors, maintains and releases block time as needed
  • Ensures time slots are utilized to maximum efficiency
  • Utilizes clinical knowledge to determine whether provider’s diagnosis aligns with patient’s appointments
  • Communicates any foreseeable issues or special needs to the appropriate person(s) and departments
  • Tracks and communicates any add-on cases and/or cancellations
  • Prepares and distributes the daily surgery schedule to the appropriate leadership and staff members
  • Captures patient demographics, procedural and diagnosis descriptions and anesthesia requirements
  • Reviews the advanced and completed schedules for inaccurate times, add-on procedures, cancellations, typographical errors and resource conflicts
  • Answers calls and retrieves voicemails related to procedural and scheduling needs
  • Receives and route messages and documents to appropriate staff
  • Coordinates and schedules appointments for physicians and outside facilities based on referrals
  • Assists in scheduling, confirming, and boarding patient procedures as needed
  • Confirms cases daily to identify correct data
  • Transcribes verbal information during phone calls
  • Attends staff meetings and maintains training requirements as directed
  • Performs additional responsibilities as needed

SKILLS and REQUIREMENTS

  • Proficient in Microsoft Office and computer programs
  • Must have a strong attention to detail and problem-solving skills
  • Excellent customer service and administrative skills
  • Must be tactful, discreet, and maintain confidentiality at all times
  • Ability to work independently and efficiently
  • Ability to multi-task and prioritize work
  • Strong verbal, written and communication skills
  • Strong interpersonal skills
  • Knowledge and compliance of HIPAA standards
  • Knowledge of medical terminology
  • Ability to work independently
  • Possess sound judgement, decision making and critical thinking skills

EDUCATION & EXPERIENCE

  • High school diploma or equivalent required
  • 1+ years of clerical/administrative experience in a healthcare facility preferred
  • General applied knowledge of medical terminology preferred

PHYSICAL REQUIREMENTS

  • Regularly required to sit; use hands to handle or feel and talk or hear
  • The employee is frequently required to reach with hands and arms
  • The employee is occasionally required to stand; walk and stoop, kneel, crouch or crawl
  • The employee may seldom lift and/or move up to 25 pounds
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus
